OpenPOS Staff Apps

Mobile PWA for your team — orders, 86, deliveries, lockers, and hosting, all from their phone.

Your staff don't need a dedicated POS terminal. The OpenPOS Staff App is a progressive web app (PWA) that runs on any phone — no app store download needed. Install it on the home screen and it works like a native app.

Getting staff set up

  1. Add staff members — Go to Staff in the dashboard. Add each person with their name, phone, and role.
  2. Set a PIN — Each staff member gets a 4-digit PIN for quick login.
  3. Assign a role — Manager (full access), Server (orders + customers), Kitchen (KDS + 86 only), Driver (deliveries), or Host (reservations + waitlist).
  4. Install the app — Staff open /staff on their phone browser, then tap "Add to Home Screen".
  5. Log in — Phone number + PIN. Sessions last 12 hours.

What staff can do

The Staff App has six main sections, accessible from the bottom navigation bar:

  • Home — Task counts and quick actions. At a glance: how many orders need attention, deliveries pending, guests waiting.
  • Orders — View all active orders, advance statuses (pending → confirmed → preparing → ready → completed), and handle special requests.
  • 86 — Instantly toggle items as out of stock. One tap and it's gone from the storefront.
  • Deliveries — Manage delivery orders, assign drivers, and track delivery status.
  • Lockers — Assign orders to smart locker compartments (if lockers are enabled).
  • Host — Manage the reservation book and walk-in waitlist. Seat, notify, and track parties.

Push notifications

Staff can opt in to push notifications so they're alerted immediately when:

  • A new order comes in
  • An order is ready for pickup or delivery
  • A new reservation is made
  • A customer joins the waitlist

Enable from the notification settings within the Staff App.

Kitchen Display System (KDS)

For kitchen staff, the dedicated KDS view (Operations > Kitchen Display) is optimized for tablets or mounted monitors. Orders appear as tickets, kitchen staff tap to advance them through the flow, and completed orders slide off the screen. It uses a Counter/Kitchen two-view system — kitchen sees what needs to be cooked, counter sees what's ready for handoff.

Permissions

Beyond roles, you can set granular permissions: who can issue refunds, modify the menu, view analytics, or manage other staff. If you have multiple locations, control which locations each person can access.
